ADV User Guides Card on File
Summary / TL:DR: This article will introduce you to keeping a credit card on file for a customer in Advantage.
As a part of the Advantage 18.10 update and in order to accommodate credit card provider mandates, we have had to make some changes to Advantage, which you will notice in your workflow. The main change with these mandates, impacts anything that involves recurring charges with Visa, MasterCard, and Discover, at this time. Customers must now explicitly accept the terms of the auto-renew in order for us to charge their card for the renewal.Â
Placing Orders
When placing an order for something that will have a recurring charge, you will now see the checkbox that appears on the screen. You will need to read the text to the customer, and if they consent, you will check the checkbox, and you will proceed as normal. Depending on what the customer is ordering, declined consent can go a few different ways. Let’s explore declining consent for Subscriptions and Agreements. If the customer declines to consent for a subscription on auto renew, and you click Continue, you will get a pop-up.
When the agent selects Yes, they will be returned to the payments screen to either select the consent box or add a payment that doesn’t require consent. If the customer is unwilling to give consent, you will click No, and the renewal flag will be flipped to Y, which will NOT auto renew the customer, since they did not give consent. As well the user will be prompted to reenter payment info.Â
Let’s explore declining consent for Memberships
You will see the same thing as above, but providing no consent, will change BOTH the parent and maintenance fee pubs’ renewal flags to Y.
Let’s explore declining consent for Book Club orders and Standing Orders
If the customer declines consent for a book club or standing order, and you click continue, you will get an error. You can either delete the order completely or click on the Change Line button at the bottom of your screen. Assuming you click Change Line, you will then be asked the following: Performing this action will delete your current payment information. Are you sure you want to do this? You should click Yes, which will make you add the customer’s credit card information again, once you have updated the order. You will then have the option to change the Promotion Code and/or Promotion Choice to something that will not auto renew.
Let’s explore declining consent for an Installment Billing order
If the customer declines consent for an order on installment billing, and you click continue, you will get the following: Order#xxxxxx requires auto-charge information, but is missing or incomplete. You can either process the order without installment billing (assuming this is also not an auto renewal order), or you will be unable to place the order.
MOD ARN (Modification Autorenewal)
The other change you will notice, is that you are required to give consent when performing MOD ARNs. This is because you are adding a credit card to the customer’s account for auto renew, which requires consent.
Adding/Changing Auto-Charge Information on a Subscription
Due to these mandates, you will no longer be able to use the Add or Change buttons to change the auto charge information on subscriptions, as you are used to seeing on the screen. You will have to perform a MOD ARN in order to change the auto charge information, which will also prompt you for consent, as above.
MOD REI (Modification Reinstate Non-pay cancellation)
You are also now required to give consent when performing a MOD REI if the subscription is on auto renew (C renewal flag).
Pre-Authorization
When you go to pre-auth a card, you will see the two new fields. If you will be using the pre-auth with an Auto-Charge or Installment Billing order, you must check the applicable boxes. If you check one of the boxes, the consent text will populate. You must receive consent before pre-authing the card. If the order will be an Auto-Charge or Installment Billing order, and you do not get consent, you will be unable to place the order later.
To summarize what we just learned, the main change with these mandates, impacts anything that involves recurring charges with Visa, Mastercard, and Discover, at this time. Customers must now explicitly accept the terms of the auto-renew in order for us to charge their card for the renewal.
