ADV User Guides Understanding the Conferences Screen

Summary / TL:DR: This article will help you understand the Conferences screen in Advantage.


This is a review of CEM, or conference, type orders.  Note that some field names and locations may vary slightly based on individual scripts used at Customer Activity. To learn more about identifying and changing scripts go here. 



Conference Registration 

Displays the details for the selected conference registration.

Conference ID

The item number associated with the conference.

Location

The location associated with the registration.

When

The dates the conference will take place.

Bill-To

Displays the shipping Info of the billable customer.

Contact

Displays the shipping info for the recipient of the conference order.

Added On

Date the conference order was added.

Updated On

Date the conference order was last updated.

Registration ID

ID number generated when the conference order is place to ID the registrant.

Status

Shows the status of the conference order.

Customer PO#

Not Used.

Billing Currency

Currency the rate is associated with.

Invoice Terms

Shows if the customer's Past Due Amount exceeds the Past Due Limit associated with the Terms Code on this order, the order is placed on hold.

Promotion Code

Promo code used to place the conference order.

Bill By

When more than one person is involved (a multi-attendee registration), then the bill-to can be identified at:

  • the registration level – that person is paying for all the attendees, or

  • the attendee level – each attendee is paying for their own registration fees. (The registration provides grouping for volume price purposes)

Registration Type

An attendee record contains the registration type indicator which identifies whether the person is participating as:

  • A - Attendee

  • P - Presenter

  • E - Exhibitor

  • S - Staff Member


Bill-To Ship-To

The display of the Bill-to Customer and Ship-to Customer associated with the conference registrant.  


Invoices / Payments

Display of all monetary transactions associated with the selected term of the subscription.  This is a condensed version of what is available from the Invoices & Payments screen used to display simplified information on basic transactions.  It is recommended that when complicated transactions are involved to use the Invoices & Payments screen. From this tab you can Add Payment to an open invoice by clicking Add Payment

These are the default customized columns from this screen.  There are more columns available.

Trans. Date

Date of the transaction.

Trans. Nbr

Order number of debit number of the transaction.

Applied to

The order number or debit number the transaction was applied to.

Source

The system name the transaction is associated with:

  • CIR = Circulation or Subscription

  • PRO = Product

  • CEM = Conference

  • AMB = Agreement

  • ARP = Accounts Receivable/Payable

Trans. Type

The type of transaction:

  • I = Invoiced

  • P = Paid

  • B = Billed

  • C = Credit

  • W = Write Off

Transaction Status Description

The status of the transaction.

Total Amt.

The amount debited/credited.

Remaining Amt.

The amount remaining that has not been paid/credited.

Billing Currency

The currency the order was billed in.

Payment Code

The type of credit card used for the transaction.

Payment Nbr

The credit card number used for the transaction. This field is masked to only display the last 4 digits. If the payment is by check, the check number will display here.

Credit or Debit

Shows if the transaction was a debit or credit.

Posted

Displays if the transaction has been posted.

Debit Fully Paid

Displays a Y if the debit is fully paid. N if not fully paid.

Due Date

The date the payment is due. This is primarily used for when payments are spread out with installment billing.

Payment Type

The type of payment used. CC = Credit Card. CK = Check.


Email Delivery History

Displays a history of all fulfillment emails sent to the customer for the conference. From this tab you can resend emails to the customer. For more information, go here.

These are the default customized columns from this screen.  There are more columns available.

Unique ID

Unique identifier of the email sent.

Email Address

The email address on file for the subscription.

Date Sent

Date the email was originally sent to the customer.

Time Sent

Time the email was originally sent to the customer.

Sent Status Description

The status of the email sent.

  • Delivered

  • Bounced

Bounce Reason Description

The reason for the bounce - currently all are recorded as Bounce.

Email Subject

Description from Message Central of the email sent to the customer. Not necessarily the subject line of the email, this is controlled by what is entered in Message Central.


Attendees

Displays every transaction associated with the conference.

Attendee Name

Displays the registered name for conference.

Badge Name

Displays the name the registrant wan't for their badge.

Registered On

Displays the date the conference was registered on.

AttendeeType

Displays the registration type.

Customer Number

Displays the customer number for the registrant.

Status

Shows the status of the conference order.


Selected Sessions

The customer's information associated with the conference.  From this tab you can add, change or delete a conference registration.

Session

Displays the session type that has been registered for.

Session Name

Displays the name of the conference session.

Session Date

Shows the date the conference session starts.

Last Updated

Date the session was last updated for the customer.

Status

Displays the session status.

Attendee Type

Displays the type of badge that has been registered.


Invoices

Displays every transaction associated with the selected conference item.

Order Number

Order number of the conference transaction.

Bill-To Customer

Displays the shipping Info of the billable customer.

Bill-To Name

Name of conference registrant.

Posting Date/Time

Date and time the order was posted.

Invoice Total

Shows the total amount of conference order.

Balance Due

Displays any remaining amount due for the conference order.

Posting Status

Will display the status of the invoice.

Control Group Date

Displays the the date the control group was last updated.

Control Group ID

Shows the control group of the rep keying the order


Original Order Lines

Displays complete list of all order lines from original order.  If the order had multiple lines associated with it, all order lines will display here.

Item Number

Item Number associated with the order line.



Qty Ordered

The quantity ordered of the line item.

Qty Shipped

The quantity shipped of the line item. For subscriptions, this should always match the quantity ordered.

Unit Price

Price per unit.

Item Gross

Price x Quantity Ordered.

Ship-to Customer

The customer number the order line was shipped to.

Address Code

The address code associated to the customer number the order line was shipped to.

Control Group Date

Displays the the date the control group was last updated.

Control Group ID

Shows the control group of the rep keying the order
