ADV FAQs Canceling a Registration

Summary / TL:DR: This article provides instructions on how to cancel an active registration to a conference in Advantage.

The conference registration is used to add additional registrants up for a conference.

These instructions require you to have a control group open. For more on control groups, go here.


How to Cancel a Registration on a Conference Order 

  1. From the Customer Service ribbon navigate to Customer Activity

  2. Enter the customer number of the customer you would like to cancel a conference registration for

  3. Highlight the order that you would like to cancel a registration for 

  1. Right Click and select Delete Registration

  2. A notification will appear making sure you want to delete the registration

  3. Click Yes

  1. Right Click and select Delete Group Registration

  2. A notification will appear making sure you want to delete the group registration registration

  3. Click Yes

4. In the pop-up window, the cancellation policy information will default based on the dates set by the marketing team 

 

ALWAYS check to see how much the refund will be by looking at the 'Credit Amount' line. If that is incorrect, you can adjust the refund.

 

  1. For an early cancel a full refund should be applied

  2. On the Cancel Registration Screen select Early Cancel (full credit)

Take note of the Credit Amount. This will be the amount the customer will be refunded.

3. Click OK

  1. For an on time cancel the refund will be reduced by however much the cancellation policy is for

  2. On the Cancel Registration Screen select On-Time Cancel

Take note of the Credit Amount. This will be the amount the customer will be refunded.

3. Click OK

  1. For a late cancel there will be no refund

  2. On the Cancel Registration Screen select Late Cancel

Take note of the Credit Amount. The customer should be receiving no refund.

3. Click OK

  1. If there is a mistake in the conference order and the customer never should have been charged this will do a reversal directly back to their card

  2. On the Cancel Registration Screen select Reversal

Take note of the Credit Amount. This will be the amount the customer will be refunded.

3. Click OK

  1. To have the credit balance be applied to the customers account instead of being refunded to their card

  2. On the Cancel Registration Screen select Early Cancel

 

5. Repeat the above steps to cancel additional registrations. 

6. You have successfully canceled the registration for the conference order.

 

 In some cases, customer service is cancelling to upgrade or switch the service and they do not want the letter to update. In these cases, the agent should use one of the following reasons as they do NOT generate the letter:

C-UPG - To be used for upgrades

XOPS - One off scenarios in which cancel letters are not desired
