Creating the mailbox On-Prem
Log into the On-Prem Exchange Admin Center (owa.agora-inc.com/ecp/)
Under Mailboxes, select the “+”, create new Office 365 Mailbox
Enter the requested information. The OU will be “E-mail Only Accounts” and do NOT check the boxes to “Require password change on next logon” and “Create an archive mailbox.” The password has to fulfill the password policy but once converted to a shared mailbox that password will disappear. Click “Save” once completed.
Search and find the new mailbox and double-click on it to open it. Go to “contact information” on the left and expand the fields to see “Notes:”. Fill that in with the current date, ticket #, and your initials.
Go to the “email address” tab and uncheck “Automatically update email address based on….”, click on the “+” and enter the desired email address. Make sure to check “Make this the reply address.” Click Save.
Wait for the next Directory Sync to occur (Approximately every 30 minutes). You can check this at the 365 Admin center
Converting the user mailbox to a shared mailbox
Go into O365 Exchange Admin (outlook.office365.com/ecp/)
Click on Mailboxes and search for the display name of the new Mailbox. Double click on the mailbox. Confirm the reply to address is the desired address. Save.
With the mailbox highlighted, click on “Convert” under “Convert to shared Mailbox” on the right-hand column
Once converted, go to the “Shared” tab. Double click on the mailbox, click on “Mailbox delegation,” add users based on requested permissions. Save.
Full access = Access to mailbox and all its contents with no sending permissions
Send as = Access to send as the shared mailbox.
Mailboxes will appear for delegates in their local Outlook automatically if they are on a Windows machine after 30 minutes to an hour. Mac users will have to add the delegate mailbox manually. Users can also access shared mailboxes via OWA almost immediately.
