Who are they?  

DMP is our direct mail handler. They are responsible for mail that is sent to our PO boxes. This mail is mostly for order placement. A portion of the mail can also be for cancelation of service. DMP scans/handkeys orders into Advantage. 

 

What do they do for us, currently? 

They collect all mail customers send to our post office boxes. They handle, sort, and upload the orders to us via sftp site and we use an automatic sweep to upload into Advantage. In addition, they also hand key exceptions- orders that are either missing informational originally, or are linked to a special promotion which requires handkey entry- directly into Advantage, upload comment mail in the NAC for Customer Service to handle, and send rejection mail back to the customer if not enough information is provided. 

 

What other names are they known by within Westech? 

DMP; Direct Mail Processors. They took over for Merkle in January 2021, so other teams in Westech still may ask for Merkle. 

 

What does EPP need to contribute? 

DMP sends EPP orders that are questionable. EPP will review these orders and either ask DMP to reject back to the customer, or provide any missing information needed for processing. EPP also works closely with DMP to ensure smooth processing and deposits in a timely manner. 

Additionally, EPP team runs billing to DMP. Once DMP sends over the invoice, our Data Reporting Lead runs a query to break out the billing for DMP so it can be parsed out to the clients. After this, the file is sent to a FinTech Solutions Architect where the data is run through a program before being sent to Accounting. 

 

What other Westech teams are involved and what is their role? 

Advantage: They assist with ensuring files are correctly flowing through advantage and into OSM. Advantage also uploads “cheat” files onto the sftp for DMP to use when scanning orders. For example, “Promofiles” contains all the active promo codes. 

Customer Service: CS is responsible for working items that are uploaded to the NAC via the sftp site DMP uploads order onto 

Accounting: Accounting receives reports from DMP for reconciliation purposes and compares orders in advantage and Circbase.  

IT: IT assists with setting up the SFTP site for DMP and giving access to Advantage to the members of DMP. Anytime there is an outage, or issue, IT helps! 

DataStream: DataStream uses the servers to move the DMP scanned files from the sftp site to the Maui folder. 

 

What systems could be impacted? 

Advantage: While there are a number of automated sweeps, the main areas of focus on the NAC within advantage and OSM.

What Affiliates use this Vendor? 

Currently, DMP supports all of our domestic affiliates, however there are a few exceptions below: 

  • Money Map Press- Money Map handles their own mail. However, some mail does end up going to the post office boxes, in which case DMP scans the mail via sftp to Money Map for sign off on whether the check should be deposited or rejected back to the customer. If the check is deposited, Money Map enters the order themselves into Advantage. 

  • New Market Health/OmniVista Health- NMH and OVH handle their own customer rejections. Instead of DMP mailing the money back to the customer on the affiliate's behalf, NMH and OVH prefer to handle this themselves. As a result, every Monday, Wednesday, and Friday, DMP sends mail directly to Shane Enos’ house and he processes the rejections back to customers.
